18. Handling Fee - If records are requested to be digitized by a third party, or other services are required by staff for customers that do not correlate to reproducing records for the customer directly, the Archives will charge a handling fee to cover shipping costs and staff time.

Q:  Why is there a fee for withdrawal of security microfilm/fiche?
A: In order to help recover costs for the storage of microfilm/fiche in a climate controlled vault at the State Archives, as well as security and quality checks, a withdrawal fee is charged. Entities depositing film for storage in this vault do not pay any fees until the microfilm/fiche is withdrawn. Once a request is made for withdrawal, the microfilm/fiche undergo a strict quality control process to ensure the microfilm/fiche has not been tampered with, and that the film is a high enough density to withstand a copy being made. This process ensures the records are legal copies of the originals.

Q: Is there a discount available for withdrawal fees?
A: As a government office, discounts are not available under any circumstance. However, should an office wish to avoid paying fees, they are able to permanently withdraw any security copies. Any records permanently withdrawn without paying the withdrawal fee are not able to be redeposited, nor can any guarantees be made about their legal authenticity.
